From the second that song begins percolating in the artist’s mind to the second the intro starts to play as they step on stage to sing it live on tour, a million and one things have to happen.

Even if all you consider is the logistics of getting an artist, their band, equipment, roadies, everyone, and everything else from one place to another by air, the number of boxes that need to be ticked and concerns that need to be addressed can be a lot to deal with!

The goal is a seamless experience for the touring artist and plenty of locations for their fans to see them live. To achieve that goal, you have to plan well, start early, and have an exhaustive (and then some) set of rules, plans, and contingencies in place. Here’s my (almost) foolproof Touring Artist’s 2026 Manual for creating the most seamless multi-city flight plan your artist has ever seen.

Plan in Routes, Not Single Flights

When you book a private jet for your touring artist, you take an incredible amount of pressure off of yourself as a planner and them as a performer. You’re offering your artist the peace of mind that comes with privacy and space to relax, and you’re also offering yourself the peace of mind that comes with knowing the very best people in their fields are on the job, and they can provide you with a very high level of customization to make the experiences even more worthwhile.

Flying private means that it’s a lot easier for you to plan routes rather than single flights. Private airports or private boarding gates at commercial airports make for smoother sailing, so to speak, but the ability to set your own schedule also makes for a much more practical, enjoyable experience.

Move in one direction whenever that makes sense, e.g., south to north or east to west

Avoid backtracking on yourself to save time and money

Cluster city stops into “regions,” e.g., the West Coast.

Be Strategic with Multi-City Bookings

One of the most underutilized tools in the toolbox of any touring artist’s management is the “open jaw” or multi-city ticket. If you understand how to wield this tool correctly, it will change your life. Why?

These are often more cost-effective for fans.

There is more protection for both fans and the artist, should anything go wrong with travel from location to location.

Coordinating the tour or events becomes so much simpler.

When is this a good tool to use?

When you’re touring 3-6 cities in a short amount of time

When the artist’s schedule is mostly fixed with little chance of variance

Plan Around Hub Cities

Not all cities are made equally when considering their potential to allow for a crowd or to route efficiently. Plan to anchor the tour to major hub cities with better travel infrastructure and access to a wide range of backup logistics and music venues.

Stick To The 3 Layer Time Rule

Account for these three layers on every leg of your trip: the flight time, buffer time (this is lessened when flying private but still necessary), and recovery time (also lessened when flying private, but never underestimate travel fatigue and jetlag! Cutting any of these will result in disaster: just allocate the necessary time and factor it into the budget.

Expect the Unexpected (Because It’s Coming)

So remember back at the top of the article when I said this was an “almost” foolproof manual? Well, that almost accounts for the things that can’t be accounted for. The sudden weather changes, the overbooking, the butterfingers staff member who dropped the amp case at just the wrong angle.

While there are tour and tech managers who will have different responsibilities, one thing is true no matter who or where you are: expect the unexpected because it will ALWAYS happen. Have a contingency plan in place and maybe even a contingency for that contingency…better to have it and not need it than need it and not have it.

Use These Essential Tech Tools

Logistics is a messy business, and it requires a lot of conversations across a lot of sites, apps, and chats. There are tech tools that can help you make this a lot easier, but they come with a word of caution: tech is amazing, but never rely on it solely and entirely. Always back up your plans in writing, have physical and cloud-based copies available at all times.

Use an online flight tracker to find out where your artist is in real time.

Use shared itineraries in programmes like Notion or Docs to keep everyone on the same page at all times.

Have offline (and multiple) backups of passes, tickets, and any travel documentation.

Get Ready to Rock with the Touring Artist’s 2026 Manual

Or pop, or metal, or country! As long as you make sure to dot all the I’s and cross all those T’s when you plan your tour logistics, you’re going to have an amazing time bringing your artist’s gift to so many different locations.

Touring as an artist, whether you’re part of a band or a one-man or woman show, takes a huge amount of prep.
